ZooYak gives you control over your personal data. You can request that some or all of your data be deleted without deleting your account. This page explains how to make a data deletion request, what data is deleted, and what data may be retained.
How to Request Data Deletion
You can request deletion of your personal data through any of the following methods:
- In the ZooYak Guard App: Open the app, go to Settings, and tap Request Data Export. To request deletion of specific data categories, contact your organisation administrator or email us directly.
- Email: Send your request to privacy@zooyak.com with the subject line "Data Deletion Request". Include your full name and the email address associated with your ZooYak account.
- Through your organisation: Contact your employer's ZooYak administrator. Administrators can delete specific data categories on your behalf through the Manager Portal.
We will acknowledge your request within 5 business days and complete the deletion within 30 days, unless a longer period is required due to legal obligations.
Data That Will Be Deleted
Upon a valid data deletion request, the following categories of data will be permanently deleted:
- Location and GPS data: Historical GPS coordinates collected during shifts and patrol tracking data. Location data is also automatically purged by our data retention policies after the configured retention period.
- Patrol and checkpoint scan records: Records of checkpoint scans, patrol routes completed, and associated timestamps.
- Custom form submissions: Any data you submitted through custom forms (e.g. site inspection forms, daily activity reports).
- Communication records: Messages, notifications, and read receipts from the platform's communication features.
- Welfare check responses: Records of welfare check-in responses.
- Notification history: Your notification history and preferences. Notification data is also automatically purged after its retention period.
- Consent records: You may withdraw specific consents at any time through the app, which may trigger deletion of the associated data.
Data That May Be Retained
Certain data may be retained even after a deletion request, in accordance with Australian law and our legal obligations:
- Employment and payroll records (7 years): Under the Fair Work Act 2009 (Cth) and Australian taxation law, your employer is required to retain employment records (including timesheets, pay records, and leave balances) for 7 years. These records are retained on behalf of your employer.
- Security licence and compliance records: Records of security licence verification may be retained to the extent required by state and territory security industry legislation.
- Incident reports: If you were involved in a security incident, the incident report and associated data may be retained for legal, insurance, or regulatory purposes as required by your employer.
- Audit logs: System audit logs recording actions taken on the platform are retained for 12 months for security and compliance purposes. Audit logs are anonymised after this period.
- Shift report data: Completed shift reports may be retained to meet your employer's record-keeping obligations. Shift report data is automatically purged after the configured retention period.
Where data is retained for legal reasons, it will continue to be protected by the same security measures described in our Privacy Policy and will be deleted as soon as the retention obligation expires.
Automatic Data Deletion
ZooYak automatically deletes certain categories of data after their retention period expires, without requiring a manual request:
- GPS location data is purged automatically based on the data retention policy configured by your organisation.
- Notification data is purged automatically after its retention period.
- Licence verification logs are cleaned up automatically after the configured retention period.
- Shift report data is purged after the configured retention period.
Your Account Remains Active
Requesting data deletion does not delete your ZooYak account. Your account will remain active and you can continue to use the platform. If you wish to delete your account entirely, please see our Account Deletion page.
