You can request deletion of your ZooYak account and all associated personal data at any time. This page explains the steps to request account deletion, what happens to your data, and any retention periods that apply.
How to Request Account Deletion
You can request that your account and associated data be deleted through any of the following methods:
- In the ZooYak Guard App: Open the app, go to Settings, and tap Delete My Account. You will be asked to confirm your identity by entering your password. Once confirmed, your account will be scheduled for deletion.
- Email: Send your request to privacy@zooyak.com with the subject line "Account Deletion Request". Include your full name and the email address associated with your ZooYak account. We will verify your identity before processing the request.
- Through your organisation: Contact your employer's ZooYak administrator, who can initiate the account deletion process through the Manager Portal.
What Happens When You Delete Your Account
When your account deletion request is confirmed, the following will occur:
- Grace period (14 days): Your account will be scheduled for deletion with a 14-day grace period. During this time, you can cancel the deletion request through the app or by contacting us. Your account remains accessible during the grace period.
- Account deactivation: After the grace period, your account will be deactivated. You will no longer be able to log in to ZooYak.
- Data deletion: Your personal data will be permanently deleted within 90 days of the grace period expiring, including from backups and disaster recovery systems.
Data That Will Be Deleted
The following data will be permanently deleted as part of account deletion:
- Account credentials: Your login credentials, authentication tokens, and session data.
- Profile information: Your name, email address, phone number, and profile photo.
- Location and GPS data: All GPS coordinates and patrol tracking data collected during your shifts.
- Patrol and checkpoint records: Checkpoint scan records, patrol completion data, and associated timestamps.
- Custom form submissions: All data submitted through custom forms (site inspections, activity reports, etc.).
- Communication records: Messages, notifications, read receipts, and notification preferences.
- Welfare check responses: All welfare check-in records.
- Consent records: Records of consents you have granted or withdrawn.
Data That May Be Retained
Certain data may be retained even after account deletion, as required by Australian law:
- Employment and payroll records (7 years): Under the Fair Work Act 2009 (Cth) and Australian taxation law, your employer is required to retain employment records (including timesheets, pay records, and leave balances) for 7 years. These records are retained on behalf of your employer and will be anonymised where possible.
- Security licence records: Records of security licence verification may be retained as required by state and territory security industry legislation.
- Incident reports: If you were involved in a security incident, the incident report may be retained for legal, insurance, or regulatory purposes. Your personal identifiers within the report will be anonymised.
- Audit logs (12 months): System audit logs are retained for 12 months for security and compliance purposes. Audit logs are anonymised after your account is deleted so they no longer identify you.
Where data is retained for legal reasons, it will continue to be protected by the same security measures described in our Privacy Policy and will be deleted or anonymised as soon as the retention obligation expires.
Cancelling a Deletion Request
You can cancel your account deletion request at any time during the 14-day grace period:
- In the app: Go to Settings and tap Cancel Account Deletion.
- By email: Send a cancellation request to privacy@zooyak.com from the email address associated with your account.
Once the grace period has expired, the deletion cannot be reversed. You would need to create a new account.
